How to avoid double bookings on Airbnb and Vrbo
The reliable way to avoid double bookings on Airbnb and Vrbo is to run every channel off one synced calendar, connected through a channel manager with direct API connections to each platform. When a booking lands on any channel, the dates block everywhere else in minutes, not on the next scheduled sync.

Why iCal-only sync lags
Many hosts sync calendars with iCal feeds, but each platform refreshes imported feeds on its own schedule, one direction at a time. Airbnb tells hosts that "your Airbnb calendar automatically updates every 3 hours, and pulls in information from the other calendars you've connected" (Airbnb Help Center, checked October 19, 2026). Vrbo says imported events "may take up to 20 minutes to appear" and that its app syncs calendars every 30 minutes (Vrbo Help, checked October 19, 2026). Until the next refresh, dates booked on one channel still show as open on the other, and that gap is where double bookings happen.
Practical steps that close the gap
- Connect each channel directly, through its own API, instead of relying only on iCal imports and exports.
- Keep one calendar as the single source of truth for every property.
- Turn on instant booking only on channels where the sync back to that calendar is direct and fast.
- Block dates for maintenance, owner stays, or off-platform bookings in the same shared calendar so every channel sees them.
- Check sync status on a schedule; don't assume a connection is silently working.
Direct connections add a check that iCal can't. Vrbo says that before a booking request goes through on a listing managed by software, it checks with that software that the property is still available, and if it isn't, the guest cannot book (Vrbo Help, checked October 19, 2026).
Where do double bookings come from?
Almost every double booking traces back to one of four gaps:
- Sync lag. The iCal refresh window above, and the most common cause.
- Manual bookkeeping. A phone booking or owner stay gets written down outside the calendar the channels read.
- A silently broken connection. A connection expires or errors and the calendar drifts out of date unnoticed.
- Turnover pressure. Back-to-back stays with no buffer push hosts into manual overrides.
What should you do when a double booking happens?
Act fast, because penalties grow as arrival approaches. Airbnb charges a host who cancels 10% of the reservation amount more than 30 days before check in, 25% between 48 hours and 30 days, and 50% of the unstayed nights inside 48 hours, with a $50 minimum, and it may also block the listing's calendar for those dates (Airbnb Host Cancellation Policy, checked October 19, 2026).
- Decide which reservation you'll honor, usually the earlier one.
- Contact the other guest personally before any automated notice reaches them, and offer alternative dates, a comparable property, or help rebooking nearby.
- Call the channel's support line, since agents can sometimes waive penalties.
- Find which of the four gaps above caused it and close it before the next busy stretch.

Questions we hear most
Does iCal sync prevent double bookings?
It reduces the risk but doesn't remove it. iCal feeds refresh on a schedule, every 3 hours on Airbnb, and only carry blocked dates in one direction at a time. Any booking that lands inside the refresh gap can be double sold. Direct API connections close that gap by pushing updates as bookings happen.
Should I turn off instant booking to avoid double bookings?
Not necessarily. Instant booking is safe when the channel is connected through a fast, direct sync back to one shared calendar. It's risky when calendars are reconciled by hand or over slow iCal feeds, because a guest can confirm dates before the block propagates.
What happens if I get a double booking anyway?
One of the two reservations has to be cancelled. Decide quickly which stays, contact the other guest and the channel's support right away, and help rebook or relocate the affected guest. Then find the sync gap that caused it before the calendar fills again.
